How to write notice and circulars



Introduction

Notice   writing is an important part of English writing course in many education boards including CBSE. Notices are used in our life in many ways .Thus it is essential for us to understand utility, features and syntax of a good notice.

Utility

Suppose you lost your watch in school playground; you can place a notice on school notice board to appeal to return it to you. Your teachers can put a notice here to inform about exam dates, change in syllabus, essay competition or educational tour to Jaipur etc.
            You must have seen “public notice” in newspaper given by government, lawyers or some company. These bring public attention to some important issues. Interested viewer of a notice can be specific like student of a school or general like readers of a newspaper. Notices are actually needed to be pasted, clipped or published at a place where many interested persons visit to look for information. This place can be notice board of a school, reception desk of an office, bank, court, Websites of govt. department or any company, notice column of a newspaper or any other place where people come frequently.
   
Features

A good notice should have following features
1) Briefà a notice should provide information in minimum number of words .About 40 to 50 words are enough. Sentences should be short. No repletion; No introduction; only to the point information.

2) CompleteàNotice should provide complete information. If you are writing notice about sports competition, it should tell about participation criteria like age limit, fees if any, Date, venue, chief guest, prize etc.

3) Authority  à Notice must include name of authority who is issuing the notice. It can be you (as in the case of watch lost in school playground), teacher, principal, manager of bank, secretary of departments etc.

4) ClarityàThere should not be any ambiguity in the information. Message should be straight forward.
Thus brevity, completeness and clarity are the main ingredients of a good notice.

Syntax  à

A notice has three parts- head, body and authority /contact person

1)      Head à it is the eye catcher. It tells the main topic or issue of the notice.

Example:   a) notice- dance competition.
                  b) notice- Annual magazine of school
                  c) notice- sports competition.
                  d) notice- change in interest rates of bank.

2)      Body à all information is provided here

3)  Authority /contact person à Name or/ and signature of notice issuing authority should be included in the end. If notice requires meeting with someone to submit name, paper or other things, contact person name, phone and meeting place and time should also be included. Contact person is also required for further clarification and information.

Circular

Circular and notice are similar. The only difference is that circular is not placed at a notice board or some public portal. It can be written in a register or file and circulated to all interested members. It is made sure that it is brought in the notice of every member.

From the examination point of view both, Notice and circular, are same.


Importance of translation


Importance of translation

Dear students,

If English is your second language, then translation from your native language to English and vice versa is essential to understand the English language.

Your first language is our mother tongue. It took us practice of many years to command our mother language. In our childhood we learnt many words and sentence structures by imitating others. We repeated each new word literally hundreds of times.

For learning our second language we need not go through same process because of two reasons.

·         First, our cognitive and grasping powers have improved.

·         Secondly we already know one language.

It is good to learn English by comparing it with our first language. Best way is to translate some sentences of English into our mother language and observe and feel the differences in syntax of the sentences.

            Each language has its own history of evolution. This decides its vocabulary, style and literature. Since all languages grow in different conditions, they are bound to be different from one another just like differences in various cultures of the world. But we will also find similarities in languages at many places. This is again due to socio- economic and cultural interaction of societies and cultures. In translation we should look for these differences and similarities in English and our mother language.

How to write good paragraphs

Introduction
You must have heard terms-paragraph, Essay, article and report. All these are different compositions. Paragraph is the most basic of them. All other compositions are consisting of paragraphs. Hence it is very important to understand nature of a paragraph to write other compositions.

Unity of paragraph
Basic idea is that a paragraph should have one thing. This thing can be an idea, one part of an idea, one concept, one aspect of a bigger concept or one dimension of a complex phenomenon. Whenever we change the idea, we should change the paragraph. Two or more things should not be mixed in a single paragraph.

Size of paragraph
Different ideas might need different number of words to develop. We can’t put word limit for a paragraph. Paragraph can be as small as a single line or it can be a full page paragraph.
But in examination we are given word limit in paragraph writing. Generally this word limit is 100 to 125 words. Most of the time topics are such that we can write enough about them. We can use some examples to cover the word limit. In any case we should respect word limit to score good marks.

Example
Let’s understand paragraph writing with an example. Suppose our topic is “books”. We can develop it in many ways by focusing on different aspects. We can write on importance of books in religion. In this we’ll focus how books are needed for spreading teachings of a religion. How holy books of all religions are the ultimate words of God that are interpreted in different ways etc.

Similarly we can focus on roles of books in different sphere of life. Here we take three such paragraphs.
1)      Books and society
2)      Books and students
3)      Books and Business.


Books and society

Books are our best companions. We cannot think of a civilized society without books. One can measure intellectual growth of a society by the richness of books written by its members. A conserve fundamental country resists free flow of ideas and hence new ideas can’t appear in their books. On the other hand in an open, modern and democratic country one can see many platforms for the expression of ideas. Everyone can exercise this right without compromising other’s right. If we want to see cultural, intellectual, spiritual development and not just economic growth of a country we must analyze the books written in that country in last 100 years. Books are the true reflection of a country.


Books and students

Books are our best companions. We need books in all stages of life, but as a student we need them the most. Books help in maintaining standards of study. All Students across the country get some quality material to study through books. This reduces the dependency on teacher’s ability. Its obvious that we give more thought, do deeper contemplation in writing than in speaking. Therefore books reflect filtered and refined ideas of an author. A well writing book helps in developing habit of self study in students. This habit separates a brilliant student from an average one. Books are the only bridge between a student and true knowledge.


Books and Business

Books are our best companions. Books provide business to writers, editors, publishers and distributors. Any business develops on the necessity of society. Books are means of education, entertainment, literature, religion, business etc. They touch all aspects of our life .A big business originates from here. There will be no educated, cultured or well-to-do person who has not purchased a book in his life. Many people develop their livelihood on book writing and publishing. People write on and for children, women, business, education, art of living, motivation, good governance, how to write English and the list goes on. There are many big publishing houses. In all modern societies demand and supply for books are increasing rapidly. In recent times we have seen globalization of publishing business. 

METRO TRAIN IN DELHI


Metro is the pride of Delhi. It’s a boon for commuters. It links many important places of Delhi. It has reduced traffic loads from the roads .It is very environment friendly also. I love traveling in fully air conditioned coaches. It has made journey very comfortable and jam-free. Metro personnel are very efficient. You’ll feel cleanliness, security and discipline everywhere in metro system. Metro network is very well planned. Many metro stations are near railway stations and important bus terminals. At some metro stations we can see big malls also. Metro ride is a real enjoyment.

When I discovered power of concentration

There was a pin drop silence in the hall. People were waiting for professor’s turn to speak .His name had already been announced. He was coming to stage. He adjusted his mike. When he started to speak audience were all ears. He spoke very clearly on his subject which others considered very tough. He was the master of his subject. He loved to discuss with his students who in turn respected him.
That day was his last day in the school. Students were very sad on his departure. He promised to come for special classes. I was also present in the audience. I always respected him for his sincerity and honesty. I didn’t want to miss even a single word. So I discarded all other thoughts that were coming to my mind. It was hard. There was a train of thoughts in my mind. I kept trying to neglect them. After a short time I was able to focus on speech. I succeeded to concentrate because I had keen interest in what sir was saying. I felt that interest is the cause of concentration.
For the first time in my life I was so focused that I could hear even his breath. I can’t forget that day and the high level of my concentration .I realized that with this high concentration I can improve not just my memory but my whole life. I promised to myself that I would practice to achieve this deep concentration permanently.

Movie I like the most


            Every year more than1000 movies are produced in India . But only a few of them become blockbuster. One such all time blockbuster movie is “3 idiots”. Story of the film is inspired by the famous novel of Chetan Bhagat. It is directed by Rajkumar Hirani. Casting is brilliant. Secret of success of this movie lies in its theme. Everyone is running a mad –race for becoming Engineer or doctor. It develops negative habits of cramming without understanding. Students suffer unnecessary pressure. Film says “Don’t run behind success, follow your passion and success will follow you”. This idea is serious but presented in very simple way. The whole tone of the film is humorous embedded with light songs. It touches my heart.  This is my favorite movie.

My first day in school


Last year I changed my school because my old school was a  primary school. I got admission in KGIL Public School in VIth class. On my first day in school, I reached on time. School was grand .There was much cleanliness .Students were gathering for prayer. I reached in my class with the help of a teacher. After payer class began. Teachers were very polite and good. Standard of education was high. There was good discipline. In the recess I went in canteen. It was very hygienic. I made friends very quickly. I learnt many new things on that day. It was a nice experience.I was very impressed with my new school. Memory of that day is still fresh in my mind. I can not forget that day.

Bazaar(Market)


Bazaars are very   important part of our life .It is a place from where we can purchase things of our choice. A bazaar offers variety of things. In a good bazaar we can find anything from needle to car. Since there are many shopkeepers selling same articles we can do bargaining .In this atmosphere of competition  customer is he winner.We can get things cheaply. Bazaar is a place of enjoyment also. Many people do window shopping. They only watch and know about the latest articles coming in the   market. One can find many eatables stalls and shops in the market .Thus Bazaar is a place where sellers and buyers meet. Both are benefited. Activities of bazaar are the most important for any economy.

Memory-- two parts


Our mind has two parts- temporary and permanent. Permanent mind has lots of space to collect many types of information like text, picture, sound etc. It is almost infinite. In our whole life we use very small part of it. On the other hand our temporary mind has limited space.
There is more important difference between these two parts. In temporary mind things stay only for sometime. Old things clear-out for making space for new things. Things in temporary mind either move to permanent mind or just discarded. Only ‘important’ things are stored in permanent mind others we forgot .On the other hand, once a thing goes to permanent mind it stays there forever. When we learn/memorize something, what we are actually doing is to transfer things to our permanent mind.
Now question is -”how our mind decides which things is important and should be stored in permanent mind and which is not so important and can be forgotten? ”It is very useful to know the answer of this question because it will help us in our study.

These are some ways of telling our mind ‘WHAT IS IMPORTANT?’

Memory--a few questions



Memory is a mystery. It separates Man from Animal.It separates Successful from Failure.It separates Brilliant from Mediocre . There are so many techniques which claims to be memory enhancer. But they rarely work. Its time to give deeper thought to the understanding of memory--the mystery.


firstly ponder on following points--


(1)  Our memory is not equally sharp all  the time.Sometimes We can recollect things even after long time,but it was near impossible for a student to retain all the answers even for next day exam.So, memory has something to do with our state of mind during the time of storing things in the mind.


(2)  During exam we learn and retain many things .If we write answers in paper then it proofs that things have been stored in our mind otherwise how could we have written the answers.But after a month or two we can recollect only few things. It means things are stored in our mind at two levels -- temporary level and permanent level.


(3) A student must have experienced this.You know the answer very well, you wrote it twice at home, it is at the tip of your tongue.But why is it not coming out? You tried very hard but in vain. Finally you accept that it has slipped out of your mind and you leave it. You come home. In the evening when you are taking tea suddenly the answer that elude you in the  exam and you accepted that it has gone,pop up. What is this? You have not seen the answer in your notebook.From where it come now! From your mind?? Then why you could not recollect it in exam ,if it was present in the mind.It means all things that are stored in our mind can not be recollected at our wish.We need some sort of organisation and cross linking of information in our mind.
